- Applicant’s engineer meets with City Engineer and Codes Department in Pre-Application Meeting (subject to availability of City Staff)
- City Engineer and Codes Department explain City requirements, applicable fees, and provide initial comments and direction.
- See ordinance-excerpts on the following pages for Steep-Slope, Radnor-Lake Zone, and Subdivision Regulations (link), if attached and if applicable, to prepare draft-plans in advance of this meeting

Applicant’s engineer begins implementation of PRELIMINARY CITY COMMENTS (applicant’s design team must continue to coordinate directly with City Engineer throughout the PC review process for site plan approval)

Implement 1st Round City Comments

One week following First Submittal, City Engineer has reviewed plans and emails 1st ROUND CITY COMMENTS to applicant’s engineer.
Second Submittal Deadline
(4th Tuesday before PC Meeting – see schedule)
One week following receipt of City comments: Applicant’s engineer submits plans updated with 1st ROUND CITY COMMENTS.
NOTE: SIGNIFICANT CHANGES TO PROJECT SCOPE AFTER THIS POINT MAY DEFER PRESENTATION TO THE FOLLOWING MONTH.
Implement 2nd Round City Comments
(3rd Tuesday before PC Meeting – see schedule)
One week following Second Submittal, City Engineer has reviewed plans and emails 2nd ROUND CITY COMMENTS to applicant’s engineer.
NOTE: AT THIS POINT THESE COMMENTS SHOULD BE MINOR.
Third / Final Submittal Deadline
(2nd Tuesday before PC Meeting – see schedule)
- One week following receipt of City comments: Applicant’s engineer submits plans updated with 2nd ROUND CITY COMMENTS.
- IF/WHEN CITY ENGINEER APPROVES ENTIRE SUBMITTAL, submit the following in preparation for the PC presentation:
- 11”x 17” hard-copies of final, City Engineer-approved plans to Codes Department.
- Include site-location map showing context of at least half of Oak Hill with nearby streets/street names
- 8.5”x11” hard copies of any supporting documentation to Codes Department which have been approved by City Engineer.
- 11”x 17” hard-copies of final, City Engineer-approved plans to Codes Department.
- Reports can be a summarized version for prints only.

NOTE: NO PLANS/DOCUMENTATION WILL BE ACCEPTED PAST THIS DATE FOR INCLUSION IN THE PC MEETING.
- City Engineer submits Memo of Comments/Recommendations to Codes Department for distribution to PC.
- City Engineer sends electronic version of all approved plans and documentation to be used in presentation
- On 1st Tuesday before PC Meeting, Codes Department sends all final project information to PC for review in preparation for PC meeting.
IMPORTANT: IF THE CITY ENGINEER DOES NOT RECOMMEND APPROVAL, APPLICANT MUST RE-APPLY FOR A NEW MEETING DATE (NO FEE).
PC MEETING – 6:00pm – City of Oak Hill Meeting Room
(1st Tuesday of every month - see schedule)
- Applicants’ Representative must attend & present case.
- Applicant BZA / PC Public Notice sign must be returned at meeting.
- If the request is approved, a building permit can be issued the following day to the applicant/homeowner with the pertinent information. If the request is deferred, the applicant must communicate with the Codes Department the new meeting date and any additional documentation.
